Reporting to the Office Manager, the Receptionist will serve as the first point of contact for tenants, vendors, clients, and visitors, ensuring a professional and welcoming front desk experience. The position focuses on creating positive first impressions through in-person interactions while supporting the daily administrative and operational functions of the Armco regional office. Responsibilities include assisting with tenant inquiries and service requests, coordinating with vendors, and providing general administrative support to the property management team to help ensure efficient office operations and strong tenant relations.
Key Responsibilities
· Armco Regional Office reception duties such as monitoring email, address and/or direct tenant inquiries and general office administrative support as required.
· Welcome and direct visitors to the office, including offering refreshments and directing them to the appropriate meeting rooms.
· Maintain office administrative documents, manuals and trackers as required.
· Handle incoming deposit cheques, prepare daily summary forms and process both in person and call in credit card payments.
· Monitor incoming phone calls to Reception Desk phone line and address/redirect in a timely manner. Check and respond to voicemails on a frequent basis.
· Maintain and update Tenant Contact Database.
· Collect, track and review tenant insurance certificates and ensure filing of certificates in tenant folders.
· Maintain and update Tenant Lists for all Armco Alberta properties and distribute on a monthly basis.
· Prepare and distribute Weekly Update Bulletin for Regional Office.
· Oversee boardroom bookings calendar and ensure boardrooms are tidied in advance of meetings and tidied up after meetings are concluded
· Coordinate food and beverage orders for monthly team gatherings.
· Coordinate regular coffee supply orders and oversee servicing of coffee machine as necessary.
· Ensure cleanliness of staff café/kitchen including unloading of dishwasher, stocking of tea and coffee supplies, and ensuring routine fridge cleaning is coordinated.
· Sort and distribute mail, couriers, and packages as they are delivered.
· Monitor office copiers and ensure paper trays are filled daily.
· Build and maintain strong relationships with retailers, tenants and customers of the building.
· Maintain a thorough knowledge of the building procedures, amenities, facilities, tenants, retailers and events.
· Back up support and coverage for Conference Centre Amenities Coordinator.
· Participate in special administrative projects and assume other administrative duties and responsibilities as assigned.
Requirements
· High school diploma.
· Minimum 3 years administrative experience.
· Strong proficiency of MS Office applications including Word, Excel and Outlook.
· Experience with Global Point of Sale.
· Able to manage priorities under pressure with careful attention to detail.
· Excellent organizational skills.
· Fluency in English (Spoken and written)
